For stores and affiliates
The money cannot get out of sync.
A settlement can drift in one place: when the balance is a stored number and reality sits in the rows beneath it. Here, the stored number does not exist – the balance is calculated every time someone looks.
- DKK 100
- minimum for payout – automatically on the first banking day of the month
- 20%
- network fee of the store’s total price – the affiliate gets the 80%
- 0 columns
- the balance is calculated from data every time it is shown
The basic principle
The balance is calculated from data, not from a column.
Available is not a field someone writes in. It is a calculation: earned, minus what is in transit, minus what has already been paid out.
The money’s path · from sale to account
record_conversion()
The order is reported back with the click ID. The commission is calculated at the rate that was copied onto the click – not at today’s rate.
status: pending
The amount is reserved on the store’s prepaid balance together with the network fee. The store has the program’s approval period (30–90 days) to reject it with a reason.
status: approved
Either because the store approved it, or because the deadline ran out. An approval is final and cannot be undone.
earned − in transit − paid out
There is no balance column to get out of sync. The sum is derived from the rows every time someone looks.
DKK 124.80 of DKK 100 – enough for the next payout
automatic · or “Udbetal nu” (pay out now)
On the first banking day of the month the server creates the payout by itself, when the approved balance is at least DKK 100 and your bank and personal details and the self-billing agreement are in place. With “Udbetal nu” (pay out now) you can start it earlier.
The machine creates, we transfer
- The server creates the payout on the first banking day of the month – or when you press “Udbetal nu” (pay out now). It calculates the amount itself; the client does not state it, so nobody can be paid more than has been approved or someone else’s balance.
- We transfer the amount by bank transfer and mark the payout as paid. The action is audit-logged.
The payout is created automatically, but we make the transfer itself. That is why we do not promise the money in your account the same day.
bank transfer · settlement statement
The amount goes to your bank account by bank transfer, and every payout gets a settlement statement. You are notified in the dashboard when the payout is on its way.
The amounts are a made-up example: an order of DKK 1,248 with 10% commission. The only thing the diagram claims is the order of events – and where the human stands.
Earned covers both commission from approved sales and bonus from referred affiliates. In transit is payouts that have been started but not yet settled. Because the sum is derived from the underlying rows every time, there is no balance that can drift from reality – not even after a failed payment, a reopened conversion or a crash in the middle of a flow.
The affiliate’s four numbers
Earned, in transit, available, paid out
Payout
The server decides the amount – and the payout comes every month.
On the first banking day of the month we pay out your approved balance when it is at least DKK 100. Weekends and Danish bank holidays are skipped – in November 2026 that is, for example, Monday the 2nd. The client does not state the amount; the server calculates it.
The consequence is simple: nobody can be paid out more than has been approved, and nobody can be paid out someone else’s balance. Pending commission can never be paid out. A progress bar shows how far there is to the payout threshold. If you do not want to wait until next month, you can press “Udbetal nu” (pay out now) when you have at least DKK 100 in approved balance – and the automatic payout can be paused.
Say it as it is
Automatic means: the payout is created by itself
The store’s side
The store’s balance has to cover commission and fee.
The store tops up by card – minimum DKK 500 – and commission and fee are reserved on the balance when a sale is recorded. Prices exclude VAT; for Danish stores the VAT is also deducted from the balance. A store account you create on store.affilyflow.com currently starts with DKK 250 in starter credit, so the first sales are covered before you deposit anything yourself.
The balance is only credited once Stripe has confirmed the payment, so a store cannot credit itself. The panel shows deposited, reserved and available, and splits the reserved amount into commission to the affiliate, network fee to us and any VAT – both in total and on every single sale. If we change anything on the balance, it happens as a line with a note the store can see – the balance is never simply overwritten. When there is enough usage to calculate from, it also shows how many days the balance will last, with a warning below 14 days and a recommended deposit amount.

The maths
An order of DKK 400 with a total price of 20%
- Commission to the affiliate, 80% of the price (16% of the order): DKK 64
- Network fee, 20% of the price (4% of the order): DKK 16
- The store’s total price: DKK 80 – 20% of the order
- For a Danish store, 25% VAT is added on top (DKK 20), which is also deducted from the balance and appears on the monthly invoice: DKK 100 in total
The starter credit of DKK 250 covers the first 2 sales of this kind, VAT included.
The affiliate gets exactly the rate the program shows – the fee is not deducted from it. And rejected sales cost nothing: they are included in neither commission owed, fee nor revenue, which makes the channel’s ROAS easy to read.
When something goes back
A negative balance is more honest than hidden debt.
If a sale that has already been paid out is refunded within 90 days of the approval, the conversion is rejected, and the amount drops out of the earned total again.
The balance is allowed to stand in minus, with an explanation that the difference is offset against the next payout. We could have clamped it to zero and let the debt turn up later. That would look nicer for a week and be worse on the day the next payout is smaller than expected with no explanation. On WooCommerce and Stripe the reversal happens automatically on refund – a partial refund reduces the commission proportionally; on Shopify and script-based sales it requires a manual rejection within the approval period.

Formalities
Bank, VAT and the details we actually ask for.
To be able to pay out lawfully, we ask for the account holder and account – as a Danish affiliate a registration number and account number, which we turn into an IBAN, or an IBAN – plus personal details: name and address, CPR number (Danish personal ID number) for Danish private individuals, CVR number (Danish company registration number) and VAT registration for businesses, and a tax ID for affiliates outside Denmark. Every payout gets a settlement statement.
Commission is calculated excluding VAT, so a store does not pay a share of what it passes on to the tax authorities anyway – via the Shopify app it is calculated on the value of the goods without shipping, where it is not yet confirmed whether the VAT has been deducted. A monthly overview, transaction history and CSV export exist, so the income can be documented rather than reconstructed, and an annual overview is in the dashboard. We report payouts to Danish private individuals to the Danish Tax Agency (eIndkomst, the Danish income register). We are not tax advisers and do not pretend to be.

Questions
What people actually ask.
- Is my commission paid out automatically?
- Yes, once a month. On the first banking day of the month – weekends and Danish bank holidays are skipped – we pay out your approved balance when it is at least DKK 100 and your bank details, personal details and the self-billing agreement are in place. The server calculates the amount, we transfer it by bank transfer, and you get a settlement statement and a notification in the dashboard when the payout is on its way. If you do not want to wait, you can press “Udbetal nu” (pay out now) when you have at least DKK 100 in approved balance, and you can pause the automatic payout. Pending commission can never be paid out.
- What happens if I change bank account?
- You get a security email about the change, and we only pay out to the new account 48 hours after it was saved. If it was not you who changed the account, you therefore have time to react before money goes the wrong way. Danish affiliates can enter a registration number and account number – we turn them into an IBAN – or enter an IBAN directly.
- What is the starter credit?
- When you create a store account on store.affilyflow.com and confirm your email, we currently add DKK 250 to your balance. The credit covers commission, the network fee and – for Danish stores – VAT on your approved sales, so you can try Affilyflow without depositing anything first. It is given once per store, is used before your own deposits and cannot be paid out or transferred. Store accounts created by the Shopify app do not get starter credit. The rules are in the terms and conditions.
- Are my bank details encrypted?
- No, and we do not claim they are. Account holder, IBAN and BIC are stored as ordinary columns protected by row-level security and column grants – that is access control, not encryption. The full IBAN is only used for the transfer and the statutory reporting; in our overviews only the last four characters are shown.
- What happens if a sale that has already been paid out is refunded?
- It depends on when the sale was approved. If WooCommerce or Stripe reports a refund within 90 days of the approval, the conversion is rejected, and the amount is taken out of the earned total again – with a partial refund, only the refunded part. The balance is allowed to go negative, and the difference is offset against the next payout. We do not clamp it to zero: a hidden minus just turns into a surprise. If the sale was approved more than 90 days ago and the commission has been paid out, you keep it – Affilyflow bears that.
